Even though we live in the 21st century and use the email as a way of communication most of the time, there is still plenty of hard copies correspondence coming from banks, government authorities or your clients and suppliers.
Although there is a tendency of “go green”, we continue to deal with hard copies correspondence.
There are no properties in the UAE that come with a P.O. Box number assigned to them.If you rented an office in the UAE, you will need to separately rent a P.O. Box from the Emirates Post.

Find below the Step-by-Step procedure, required documents, packages, fees and important Tips & Tricks to consider if you want to RENT or RENEW a Corporate P.O. Box in the UAE – all by yourself.

RENTING A CORPORATE P.O. Box in UAE
Rental Period

1 year (Renewable each year)

Procedure and Required Documents:

  • Duly filled Application Form signed & stamped (The form can be obtained from any of the empost branch or
  • Company Trade License
  • Authorization Form (Can be obtained at the empost branch)
  • Valid Emirates ID of the authorized person
*Note: Please make sure the authorized person is under the sponsorship of the company and has a valid Emirates ID.

The authorization will cost around AED 100+VAT and it requires:
– 2 passport sized photos
– Valid Visa copy
– Passport copy

After completing the above steps, visit the branch where you want to rent the P.O. Box and complete the procedure in less than 10 minutes.

* IMPORTANT Note: The P.O. Box rental starts from January 01 each year and will be valid until Dec 31 of the year. Even if you rent the P.O. Box mid of the year, it will still be valid until Dec 31.

Features and Fees

This is the basic and most common rental P.O. Box.
The annual fee for this service is around AED 900.

#BizzTIP: On top of the annual fee, additionally there will be a registration fee, processing fee and VAT, which will accumulate to a total fee near to AED 1050.
Therefore, we advice you to carry extra cash or you can pay with a debit/credit card as well.

The annual fee for this service is around AED 1900 with 1 mailbag as an addition to the Light Box rental. po box dubai

The annual fee for this service is around AED 3,500. It includes weekly mail pickup and delivery along with basic services.

The annual fee for this service is AED 6,000. It includes 3 times a week mail pickup and delivery along with basic services.

The annual fee for this service is around AED 12,000. It includes daily 6 times a week mail pickup and delivery.

The service is available in particular for Business Centres and Free Zones,

where the mail is delivered to the business Centre through Ezi-Mail service subscription. Customers who move from the Business Centre to an actual office may retain the virtual P.O. Box number, if they subscribe to one of Ezi-Mail bundles. The virtual P.O. Box cannot be switched to an actual P.O. Box in one of EPG branches.

The annual fee for this service is around AED 900.

RENEW a CORPORATE P.O. Box

The rented P.O. Box must be renewed each year on January 1. The Empost Office gives a grace period each year to renew or cancel the rented P.O. Box.

Commonly the grace period is first two months of each year.

Procedure & Required Documents:
  • Duly filled Application Form signed and stamped (The form can be obtained at any of the empost branch
  • Trade License
  • Authorization Form
  • Valid Emirates ID of the authorized person

Fees

All the fees are same as when renting a new P.O. Box.

*Note: All the Free Zone companies in TECOM can get their P.O. Box renewed online using the AXS portal (If the P.O. Box is rented in the Knowledge Village Park).

CANCELING A CORPORATE P.O. Box in UAE

It is mandatory for each company to cancel the P.O. Box if they are liquidating/cancelling their business license.

In order to cancel the P.O. Box you must obtain the trade license cancellation from the authorized Authority. The authorized person can visit the respective branch of the P.O. Box and can submit the cancellation request.

Procedure and Required Documents:
  • Duly filled P.O. Box Miscellaneous Services Form – signed and stamped (The form can be obtained from any of the empost branch
  • Company Trade License
  • Keys of the P.O. Box (in case the keys are lost you will have to pay around AED 100 fine)

After you submit the documents, the cancellation will be finalized within a week. After one week you may visit the branch or call the empost helpline at 600 5 99999 to get the update.

Fees

There are no cancellation fees

Physical Relocation/Change Location of a Corporate P.O. Box in UAE

There is no physical relocation available of the P.O. Box, as the P.O. Box number is unique in each branch. If you still want to change the location of the P.O. Box, you have to rent a new P.O. Box from your desired branch and then you may cancel the previous P.O. Box as explained below:

  1. Rent a new P.O. Box
  2. Procedure and Required Documents for cancelling the existing P.O. Box:
  • Letter with the company letterhead to empost by addressing it to the branch manager requesting to cancel the existing P.O. Box as you have already rented a new P.O. Box.
  • Company Trade License
  • Duly filled P.O. Box Miscellaneous Services Form signed and stamped (The form can be obtained at any of the empost branch
  • Keys of P.O. Box
    .

*IMPORTANT #BizzTIPs:

  • If you require an emergency service, take initiative in addressing it the branch manager. In most instances they are very helpful and receptive, given you have all the required documents at the time of your visit;
  • Note that you are not liable to pay any fee if you are cancelling the P.O. Box within the grace period (commonly the grace period is first two months of each year). Despite your agreement, no forced renewal should be implied. Bring the subject to the senior assistance for further clarification;
  • There are cases when you might be told that you cannot rent a new P.O. Box, because of an existing one. As per the law, you are allowed to have more than one P.O. Box under your company;
  • In order to make sure you’re following the right steps, contact the impost helpline to fetch the exact information as per your query;
  • The rental process is the same, whether you rent a P.O. Box in Abu Dhabi, Dubai, Sharjah or any other location in the UAE, since the postal service is a Federal Institution.
